Monthly bookkeeping

Monthly bookkeeping and reconciliation

The foundation of everything. I categorize your transactions and reconcile every account to your real statements each month, so the numbers in QuickBooks match the money in the bank.

The short answer

Monthly bookkeeping means recording and categorizing every income and expense transaction, then reconciling each bank, credit card, and loan account against its statement so your books are provably accurate. Stark Bookkeeping Solutions does this every month in QuickBooks Online, starting at $300 a month.

What's included

  • Categorizing every transaction from your bank feeds
  • Reconciling checking, savings, and credit card accounts
  • Reconciling loans and lines of credit
  • Matching deposits to sales and payouts from Square, Stripe, Toast, and more
  • Chasing down missing receipts and odd transactions (I'll text you)
  • Keeping your chart of accounts tidy and useful
  • Month end review before I close the books

Why reconciliation matters

Bank feeds are helpful, but they aren't bookkeeping. Duplicates slip in, transfers get counted as income, and a missed credit card charge can throw off your profit for months.

Reconciliation is the check that catches all of it. When your accounts are reconciled, you can trust your profit and loss, your balance sheet, and the numbers you hand your CPA.

What a month with me looks like

Every month follows the same simple rhythm, so nothing falls through the cracks.

  1. Throughout the month: I work the current month's transactions every week, categorizing everything from your bank and card feeds so nothing piles up.
  2. Questions, if any: If I spot a charge I can't place, I send you a quick text or email. Most months that's a question or two, not a homework assignment.
  3. Reconcile: Once statements are available, I reconcile every account so the ending balances in QuickBooks match your statements to the penny.
  4. Close and report: I review the month, close the books, and send your reports.

Signs you need monthly bookkeeping

  • You aren't sure if you made money last month
  • Your bank feed has hundreds of transactions marked "For Review"
  • Your CPA sends back a long list of questions every spring
  • You've been meaning to "sit down and do the books" for a while now

Behind already? No judgment. I'll get your books caught up first with cleanup and catch up bookkeeping, then we keep them clean from there.

What I need from you

Access to your QuickBooks Online file (I can help set one up if you don't have one), read only access to your bank and credit card statements, and a quick reply when I have a question. That's it.

Questions I get a lot

What is bank reconciliation?

Bank reconciliation is comparing the transactions in your bookkeeping software to your actual bank statement and making sure the ending balances match. It catches duplicate entries, missing transactions, bank errors, and fraud, and it's what makes your financial reports trustworthy.

How often should my accounts be reconciled?

Every month. Reconciling monthly keeps problems small and easy to fix. Waiting until the end of the year turns a ten minute fix into a research project.

How much does monthly bookkeeping cost?

Monthly bookkeeping starts at $300 a month. The price depends on how many accounts you have and how many transactions run through them. I'll give you a clear quote after a quick look at your books.

Can you work in my existing QuickBooks Online file?

Yes. Most clients already have a QuickBooks Online file. You add me as your accountant user, and I take it from there. If your file needs some cleanup first, I'll tell you up front.
