Behind on Your Books? Here's What Catching Up Looks Like

The short answer

Catching up on bookkeeping means gathering bank and credit card statements for every missing month, recording and categorizing the transactions, fixing any errors already in the books, and reconciling each account month by month until the books are current. Once caught up, monthly bookkeeping keeps them that way.

If you're reading this with a little knot in your stomach, take a breath. Being behind on your books is one of the most common situations I see, and it's completely fixable.

Businesses fall behind for normal reasons. You got busy. A bookkeeper left. The bank feed disconnected and nobody noticed. Life happened. What matters is getting current, and here's how that works.

Step 1: Figure out where things stand

The first step is a review. I look at your QuickBooks Online file, or your bank statements if there's no file, and answer a few questions:

  • When was the last month that was actually reconciled?
  • Which accounts need work?
  • Are there existing errors that need fixing, or is it just missing months?
  • Is there a tax deadline driving the timeline?

Step 2: Gather your statements

Your bank and credit card statements are the source of truth. For each month that needs to be caught up, you'll want:

  • Statements for every business checking and savings account
  • Statements for every business credit card
  • Loan statements, including equipment and vehicle loans
  • Payroll reports, if you have employees
  • Sales reports from Square, Shopify, your POS, or other platforms

Most of these can be downloaded from your online banking. I'll give you a simple checklist so you know exactly what to grab.

Step 3: Catch up and clean up

This is where I do the heavy lifting. Month by month, I record and categorize transactions, match deposits to sales, and fix errors like duplicate entries, transfers counted as income, or loan payments recorded entirely as expenses.

Each month gets reconciled before moving on to the next. That way the books are rebuilt on a solid foundation instead of patched together.

Step 4: Questions, not homework

Along the way I'll have questions about some transactions. I batch them up and send them over so you're not getting a text every ten minutes. Anything nobody can identify gets flagged for your CPA instead of guessed at.

Step 5: Hand off clean books

When everything is caught up, you get accurate reports for the full period, ready for your CPA. And for the first time in a while, you'll actually know how your business has been doing.

How long does it take? It depends on how many months are behind, how many accounts are involved, and how quickly statements come in. A few months can often be caught up quickly. A year or more takes longer. You'll get a realistic timeline with your quote.

Staying caught up

The best part of a cleanup is never needing another one. Most clients move straight into monthly bookkeeping so the books stay current.

Can I file my taxes if my books are behind?

You can file an extension in many cases, but accurate books are needed to file a correct return. Talk to your CPA about deadlines, and get your books caught up as soon as possible so they have what they need.

What if I'm missing bank statements?

Most banks let you download several years of statements online. If some are missing, your bank can usually provide them. We can also start with what's available and fill in gaps as they come.
